BERLIN, Germany – November 2, 2026 – aiomics is offering hospitals and rehabilitation clinics a template-based approach to AI document preparation. Organisation-specific presets and structured extraction allow the institution to define how its supplied records are used to prepare forms, letters and reports for professional review.
The approach starts with the document the clinic needs to produce. The headings, required fields and review steps are agreed for the relevant workflow. Aiomics then configures the preparation process around that structure and the available case records.
Giving recurring document work a defined structure
Clinical teams prepare different documents for different purposes. An admission report, a request for additional information and a discharge letter each require their own content and approval route. A useful implementation therefore begins by selecting a specific document type and identifying the information needed to complete it.
Aiomics supports organisation-managed document presets. These provide reusable instructions and structure for preparing a draft from the case material. Templates can reflect the clinic’s headings and letterhead, while structured extraction makes selected information available in the configured fields.
The purpose is to reduce repeated preparation work while keeping the clinic’s requirements visible. Staff start with a draft in the expected structure, examine the supporting information and complete the professional assessment. The responsible person approves the final document before it is used externally.
Connecting fields with the record behind them
The quality of a completed form depends on the information used to fill it. An extracted date, finding or description needs to remain understandable in the context of the patient record. Aiomics retains source references for the extracted information so that reviewers can inspect its basis.
Where a required item is missing, the workflow needs a route for clarification. A template can identify what the document calls for; it cannot create evidence that was never supplied. During configuration, the clinic determines how staff should handle incomplete records and which parts require professional input.
This becomes particularly useful when one case supports several document types. The same supplied records can contribute to an admission report and a later letter, while each output follows its own agreed structure. Staff retain responsibility for deciding whether the information is suitable for the particular purpose.
Starting with one document type
Aiomics offers a free one-month pilot with an agreed scope. A clinic can begin with a recurring form or report, its existing template and representative case records. Together, the team defines the fields, source documents, draft structure, approval role and output format.
Evaluation can examine whether the draft fits the intended form, how often fields need correction, how easily supporting passages can be checked and how much work remains before release. The receiving system and handover route are included so that the assessment reflects the complete document process.
